Is Your Accounting System Ready for Year-End? 7 Things to Check Now

December-you will thank October-you.

October has a funny way of sneaking up on businesses.

One minute you're thinking about pumpkin spice and Halloween costumes, and the next you're staring down the final quarter of the year wondering how December got here so quickly.

Before year-end arrives, it's worth taking a little time to make sure your accounting system—and the information inside it—is ready.

A little cleanup now can make the year-end process much smoother later.

Here are seven things worth checking before the calendar flips.

1. Review Your Financial Data

Start with the basics.

Are your accounts reconciled? Are there outstanding transactions that need attention? Are there unusual balances or entries that deserve a closer look?

Year-end is not the ideal time to discover that something has been sitting unresolved since March.

A good review now gives your accounting team time to investigate discrepancies, make necessary adjustments, and head into the final months of the year with cleaner data.

2. Take a Look at Your Inventory

If your business carries inventory, now is a good time to evaluate what's actually on hand versus what's recorded in your system.

Look for:

  • Inventory that hasn't moved in a while
  • Items with unexpected quantity differences
  • Outdated or obsolete products
  • Purchasing patterns that may need adjustment
  • Inventory valuation issues

Accurate inventory information doesn't just matter for accounting. It can affect purchasing, cash flow, customer service, and business decisions.

3. Check Your Reporting

Can you quickly get the financial information you need?

If answering a simple question requires exporting multiple spreadsheets, manually combining reports, or asking three different people to "pull something real quick," that's worth paying attention to.

Modern accounting systems can provide financial reports, dashboards, KPIs, and analysis tools that make it easier to turn business data into useful information.

Microsoft Dynamics 365 Business Central, for example, includes financial reporting capabilities and can connect with Power BI for additional dashboards and analysis.

The goal isn't more reports.

The goal is better information when you need it.

4. Review User Access

Year-end is also a good time to look at who has access to your accounting system.

Do former employees still have accounts?

Have employees changed roles?

Does everyone have the level of access they actually need?

Keeping user permissions current helps reduce unnecessary access and keeps your system better organized.

5. Check Your Integrations

Your accounting system probably doesn't live on an island.

It may connect with other applications for payments, sales, inventory, reporting, document management, or workflow automation.

Make sure those connections are still working the way they should.

Business Central can integrate with Microsoft tools including Outlook, Teams, Power BI, Power Automate, Power Apps, and others, giving businesses ways to connect accounting data with broader business processes.

Because finding out an integration stopped working on December 29 is nobody's idea of a holiday miracle.

6. Don't Forget About Backups and Business Continuity

Your accounting data is some of the most important information your business has.

Review how your data is protected and make sure your backup and recovery processes are understood before you need them.

A backup is only useful if you can actually recover what you need when something goes wrong.

7. Make a Year-End Game Plan

Finally, don't wait until December to figure out what needs to happen.

Create a simple checklist for your accounting and finance team. Identify deadlines, responsibilities, reports, reconciliations, inventory tasks, and anything else that needs to happen before the books are closed.

Business Central includes functionality to support accounting periods and fiscal-year closing, including year-end closing processes and reporting.

Don't Let December Do the Planning for You

Year-end doesn't have to mean a mad dash through spreadsheets and last-minute cleanup.

Taking a little time in October to review your accounting system can help you identify problems while there's still time to fix them.

And if your current system makes even basic accounting tasks harder than they should be, that may be a sign that it's time to consider whether your software is still keeping up with your business.

Coe Solutions can help you evaluate your current accounting environment and explore whether Microsoft Dynamics 365 Business Central is the right fit for your next stage of growth.
